Who is responsible for your information?

The data controller is Gelos Network Limited, company number 15714647, with its registered office at 30 Fore Street, Totnes, Devon, TQ9 5RP. Privacy enquiries can be sent to info@gelosnetwork.co.uk.

Information we collect

If you make an enquiry, we collect the contact and event details you choose to provide. The public form asks for your name, email address, what you are planning and a town or area. Organisation, telephone, venue name, date, audience size, budget and extra notes are optional. We may later record further event details, such as venue capacity or setup, when our team follows up.

When optional measurement is configured and you consent, we may also collect limited campaign attribution and information about pages and enquiry-form events. We do not put enquiry contact details or free text into analytics events.

How and why we use it

We use enquiry information to understand your event, respond, recommend a suitable approach and take steps you ask us to take before a possible contract. Where you enquire as an individual, the usual lawful basis is taking steps at your request before entering a contract. Where you contact us for a company or organisation, we use the information as necessary for our legitimate interests and yours in handling a relevant business enquiry and possible booking.

We may also use limited technical information where necessary for the legitimate interests of keeping the service secure, preventing abuse and diagnosing faults. Optional analytics and advertising measurement are based on your consent, which you can change at any time through Cookie settings.

Who receives the information?

Authorised people at Gelos Network Limited use enquiry information where needed. The website is hosted by Vercel. Enquiry records are stored in a dedicated Supabase project in London. Internal office notifications are sent through Resend. Optional Google measurement is used only if those identifiers are configured and you consent; they are not currently configured. We may also disclose information where legally required or where necessary to establish, exercise or defend legal claims.

Some providers process information outside the UK. Vercel may process website data outside the United Kingdom. Supabase keeps the enquiry database in London and publishes a data-processing addendum, including UK transfer terms, for any remaining transfers such as backups, logs or sub-processors. Resend sends messages from Ireland; it stores account data, including message metadata, in the United States and publishes a data-processing addendum that incorporates standard contractual clauses and UK transfer tools. We do not claim that all processing stays in the United Kingdom. We do not sell enquiry information.

How long we keep information

We keep enquiry information only for as long as reasonably necessary to handle the enquiry, maintain relevant business records, support reasonable future dealings and meet legal or dispute obligations. We review unconverted enquiries periodically and delete or anonymise records that are no longer reasonably required. We do not delete an enquiry automatically merely because it reaches a fixed age. Records that form part of a signed booking, accounting or legal record follow Gelos Network Limited’s separate applicable retention obligations.

Security

We use proportionate technical and organisational measures intended to protect information, including access controls, validation, restricted database permissions and minimisation. No internet service can guarantee absolute security.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict use of your information, object to processing, or receive portable information. You can withdraw optional measurement consent at any time. Contact info@gelosnetwork.co.uk to make a request. You may also complain to the Information Commissioner’s Office.
